Automated client reporting for agencies: every client’s report, done on the 1st
Automated client reporting that covers every channel and every client. On the first of each month Sai signs in to each client’s ad accounts, analytics and social dashboards, collects last month’s numbers, fills that client’s report template and drafts the cover note. Reports wait for your review; nothing goes to a client until you send it.
The routine
# Routine: Monthly client reports
Schedule: Monthly, on the 1st at 9:00 AM
Runs on: Mochi's computer
Ask me before acting: yes
Stop a run after: 2 hours
## Each run
1. For each client in the Clients sheet, open the sources listed for them: ad accounts, analytics, social dashboards.
2. Collect last month's numbers for the metrics in that client's report template, with the month before for comparison.
3. Fill the client's own template (Docs, Slides or Sheets). Keep their branding and layout.
4. Draft a cover note with three highlights and one thing to watch, using only the numbers collected.
5. Save each report in the client's folder as <Client>_Report_<YYYY-MM>.
## Rules
- Never send anything to a client. Leave reports and notes as drafts.
- Don't change campaigns, budgets or settings in any account.
- If a source is missing or a number looks wrong, flag it in the report instead of filling it.
## Send me
A list of reports ready for review, and any client with missing data. What is automated client reporting?
Automated client reporting is the recurring collection of each client’s performance data, from ad platforms, analytics and social channels, into the report the agency sends them, on a fixed schedule. Agencies use it to deliver consistent monthly reports without spending the first days of every month copying numbers between dashboards and slides.
The analysis is where an agency adds value. The collecting and formatting is the part that repeats, and that is the part a routine can own.
How this routine builds client reports
On the first of the month Sai works through your client list:
- Open each client’s sources. Sai signs in to the ad accounts, analytics properties and social dashboards listed for that client.
- Collect the numbers. It records last month’s metrics from the client’s template, with the previous month for comparison.
- Fill their template. Each client keeps their own report layout and branding, in Google Slides, Docs or Sheets.
- Draft the cover note. Three highlights and one thing to watch, written only from the numbers collected.
- Hand over for review. Every report waits as a draft; you review, adjust and send.
What you get on the 1st
Reviewing a filled report takes minutes. Building it from scratch takes hours, multiplied by every client on the roster.
- A filled report for every client, in their own template
- Month-over-month changes for the metrics each client cares about
- A drafted cover note per client
- A list of clients with missing or suspicious data
Ways to automate client reporting, compared
Agencies usually choose between three approaches.
| Method | Setup | Client’s own template | Channels covered | Ongoing effort |
|---|---|---|---|---|
| Building reports by hand | None | Yes | Any | High: hours per client per month |
| Reporting dashboards with connectors | Medium to high | Usually a dashboard layout | Only connected channels | Low once connected; connector costs per source |
| Exports from each platform | Low | No | One at a time | Medium: merging and formatting |
| A Sai routine | Paste the routine, list clients and sources | Yes | Anything you can open in a browser | Low: review and send |
For SEO-only weekly reports, use the automated SEO reports routine. For clients who want a live dashboard, a connector-based tool remains the better fit.
Monthly or weekly client reports?
Monthly is standard for most retainers, with a short weekly update for paid media clients whose budgets move quickly. Run this routine on the 1st, and set up a lighter weekly routine for the clients who need it.
Set up the routine in Sai
- Copy the routine above and paste it into Sai, or click Start with Sai.
- Set the schedule to Monthly, on the 1st at 9:00 AM.
- Turn on Ask me before acting so Sai checks with you before anything unusual, and set Stop a run after to cover your client list.
- Add your Clients sheet with each client’s sources and report template.
- Run it for one client first and compare the numbers before running the whole roster.
More on approvals and run limits in the Routines guide.
Why use a computer use agent for client reporting?
Every client uses a different mix of platforms, and many agencies pay for a connector per source just to get numbers into one place. A computer use agent reads each platform’s own reports through the screen, the way an account manager does, and writes into the template the client already knows.
Sai ranks at the top of OSWorld, the open benchmark for computer use. Reliability matters here because a wrong number in a client report costs trust; when a source fails, Sai flags it instead of filling the gap.
Skills this routine uses
- Google Slides automation: Build decks in Google Slides from a reference deck and your notes, and turn your corrections into rules Sai follows next time.
- PowerPoint automation: Update a deck with new numbers, charts and notes, slide by slide, in the real PowerPoint app, without breaking the template.
- Excel automation: Clean, merge and update workbooks, refresh a model from new numbers, and build the weekly report in the real Excel app.
