Review monitoring that logs every new review and drafts the reply
Review monitoring for every location and every review site you care about. Each morning Sai checks your Google Business Profile and the other sites on your list, such as Yelp, Trustpilot, G2 or app stores, logs every new review with its rating and topic, and drafts a reply in your voice. Low ratings go to the top. Replies are posted only after you approve them.
The routine
# Routine: Daily review monitoring
Schedule: Every day at 8:00 AM
Runs on: Scout's computer
Ask me before acting: yes
Stop a run after: 30 minutes
## Each run
1. Open the Reviews sheet and its Sources tab (location, review site, profile link, who owns replies).
2. For each source, read reviews posted since the last run.
3. Log each new review: date, site, location, rating, reviewer name as shown, a one-line summary, topic (service, product, price, delivery, staff, other) and link.
4. Draft a reply to each review following the Tone tab. Thank positive reviewers; for negative reviews, acknowledge the issue and offer a way to follow up offline.
5. Put reviews of 3 stars or lower at the top, with any that mention safety, legal issues or a named employee marked Urgent.
## Rules
- Ask me before posting any reply.
- Never ask for, offer anything for, edit or report a review.
- Don't include personal or order details in public replies.
## Send me
New reviews by rating, urgent ones first, the drafted replies, and the average rating per location this week. What is review monitoring?
Review monitoring is the ongoing tracking of what customers write about a business on review sites such as Google, Yelp, Trustpilot, G2 and app stores. It includes noticing new reviews quickly, replying to them, and spotting patterns across locations and topics. Review sites show response activity to readers, and an unanswered complaint can stay at the top of a profile for months.
Checking every site, every day, is easy to skip by hand and simple to schedule as a routine.
How this routine monitors reviews
Every morning Sai goes through your list of review sources:
- Check each source. Sai opens each location’s profile on each site in your Sources tab and finds reviews posted since the last run.
- Log new reviews. Date, site, location, rating, a one-line summary, a topic and a link go into the Reviews sheet.
- Draft replies. Each review gets a reply in your tone; negative ones acknowledge the issue and offer an offline follow-up.
- Prioritize. Reviews of three stars or lower go to the top, and anything about safety or a named employee is marked urgent.
- Wait for approval. You edit or approve the replies; Sai posts only what you approved.
What you get every morning
Over time the sheet shows which locations and topics drive ratings up or down.
- Every new review across sites and locations, in one sheet
- Low ratings and urgent reviews at the top
- A drafted reply for each review
- Average rating per location over time
- Recurring topics, so you can see what customers keep mentioning
Ways to monitor reviews, compared
Most businesses use one of these.
| Method | Setup | Covers every site you care about | Drafts replies | Ongoing effort |
|---|---|---|---|---|
| Checking each site by hand | None | Yes, if someone remembers | No | High every day |
| Email notifications from each site | Low | Only sites that notify | No | Medium: many inboxes and alerts |
| Review management software | Medium | Supported sites only | Often, with templates | Low, with a subscription per location |
| A Sai routine | Paste the routine, list your sources | Yes, any site you can open in a browser | Yes, in your tone | Low: approve replies |
Multi-location brands with review-request campaigns usually need review management software; a list of options is in Simular’s guide to brand monitoring tools. Social mentions are a separate job, covered in social media monitoring.
How quickly should you reply to reviews?
Within a day or two is a good standard, and sooner for negative reviews, which is why this routine runs every morning. Businesses with few reviews can switch Repeat to weekdays or a weekly run. Whatever the schedule, reply to negative reviews calmly and move the details to a private channel.
Set up the routine in Sai
- Copy the routine above and paste it into Sai, or click Start with Sai.
- Set the schedule to Daily at 8:00 AM.
- Keep Ask me before acting on, so every public reply waits for your approval.
- Create the Reviews sheet with a Sources tab for each location and site, and a Tone tab with a few replies you like. Sign Sai in to the profiles it should reply from.
- Approve the first week of replies carefully, and refine the Tone tab as you go.

Why use a computer use agent for review monitoring?
Each review site has its own dashboard, and many smaller sites offer no integration at all. A computer use agent checks every profile the way a manager does, logs the reviews in one sheet and drafts replies, so coverage doesn’t depend on which sites a tool happens to support.
Sai ranks at the top of OSWorld, the open benchmark for computer use. For public replies, that reliability is paired with an approval step, so nothing is posted that you haven’t read.
Skills this routine uses
- AI brand visibility tracking: Ask ChatGPT, Perplexity and Gemini your buyers’ questions every week and log which brands each answer mentions and cites.
- Website data to Excel or Sheets: Pull prices, listings and tables from websites with no export into a clean Google Sheet or Excel file, on a schedule if you want.
- CRM data cleanup: Merge duplicates, standardize fields and fill gaps in HubSpot or Salesforce by your rules, with uncertain merges left for you.
