Automated bank reconciliation, every week instead of every month-end

Automated bank reconciliation that runs every Friday, so month-end starts with a clean list. Sai downloads the week’s bank and credit card transactions from each portal, matches them to the entries in your accounting system or reconciliation workbook, and lists every difference with the likely reason. Matching suggestions wait for your approval; Sai never posts or deletes anything.

The routine

# Routine: Weekly bank and credit card reconciliation

Schedule: Weekly on Friday at 4:00 PM
Runs on: Berry's computer
Ask me before acting: yes
Stop a run after: 1 hour

## Each run
1. For each account in the Accounts sheet, sign in to the bank or card portal and download this week's transactions (CSV if available, otherwise the statement view).
2. Open the accounting system (or the reconciliation workbook) and list entries for the same account and dates.
3. Match by amount and date (within 3 days), then by payee. One bank line can match several entries.
4. Record matched pairs, unmatched bank lines and unmatched book entries on a dated tab, with the likely reason: timing, missing entry, duplicate, or amount difference.
5. Compare the bank balance with the book balance and show the difference after known reconciling items.

## Rules
- Ask me before accepting matches or marking anything reconciled.
- Never create, edit or delete entries in the books.
- Never move money or change anything in a bank portal.

## Send me
Accounts that tie out, accounts with differences, and the unmatched list with reasons.

What is automated bank reconciliation?

Bank reconciliation is the process of matching the transactions on a bank or credit card statement to the entries in a company’s books and explaining every difference, so the cash balance in the books can be trusted. Automated bank reconciliation does the collecting and matching on a schedule, leaving people to review the exceptions. Most accounting systems include matching tools; the effort is in getting complete transactions from every account and investigating what doesn’t match.

Running it weekly instead of at month-end keeps the exception list short and the context fresh.

How this routine reconciles your accounts

Every Friday afternoon Sai works through your accounts:

  1. Download transactions. Sai signs in to each bank and card portal and downloads the week’s transactions.
  2. List book entries. It reads the matching entries from QuickBooks, Xero, NetSuite or your reconciliation workbook.
  3. Match. Transactions are matched by amount and date, then payee, including one-to-many matches.
  4. Explain differences. Every unmatched item gets a likely reason: timing, missing entry, duplicate or amount difference.
  5. Ask before accepting. Matches are suggestions until you approve them; nothing in the books changes on its own.

What you get every Friday

Month-end then means reviewing four short weekly lists instead of one long one.

  • A dated reconciliation tab for each account
  • Matched pairs, unmatched bank lines and unmatched book entries
  • A likely reason for every difference
  • Bank versus book balance, after known reconciling items

If all your accounts have reliable bank feeds, use your accounting system’s matching and let this routine handle the exceptions and the accounts without feeds. For coding transactions in QuickBooks, see QuickBooks automation.

How often should you reconcile?

Weekly is a good default for small and mid-sized businesses: problems are caught while they are easy to explain. High-volume accounts can run daily; quiet accounts can run monthly. Credit card accounts are worth the same weekly check, because missing receipts are easier to chase within days.

Set up the routine in Sai

  1. Copy the routine above and paste it into Sai, or click Start with Sai.
  2. Set the schedule to Weekly on Friday at 4:00 PM.
  3. Keep Ask me before acting on. Sai suggests matches; you approve them.
  4. List your accounts in the Accounts sheet with the portal and the ledger account for each. Sai signs in to portals only with your approval.
  5. Run it for one account first and check the matches before adding the rest.

Pair it with the month-end close checklist, which starts from these weekly tabs.

Why use a computer use agent for bank reconciliation?

Many business accounts, especially smaller banks, card programs and foreign accounts, have no reliable bank feed, so someone downloads statements by hand. A computer use agent signs in to each portal the way you do, with your approval, and works in your accounting system’s screens, so every account is covered without an integration.

Sai ranks at the top of OSWorld, the open benchmark for computer use. For finance work the other half of reliability is restraint: Sai suggests, explains and waits for approval rather than posting anything.

Skills this routine uses

  • QuickBooks automation: Enter bills, attach receipts and code bank transactions in QuickBooks Online by your rules, with big bills and unknowns left for you.
  • NetSuite automation: Enter vendor bills in NetSuite from the PO and receipt, attach the PDF and leave each one Pending Approval, with mismatches left for you.
  • Excel automation: Clean, merge and update workbooks, refresh a model from new numbers, and build the weekly report in the real Excel app.
